Privacy policy

How we collect, use and protect your information when you use this website or contact us — explained in plain language.

Who we are

KND Community Organisation (“KND”, “we”, “us”) is the data controller for personal information collected through this website. We are committed to handling your information carefully and in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

You can contact us about privacy using our contact form or by emailing info@kndcommunity.uk.

Information we collect

We only ask for what we need to respond to you. Depending on the form you use, this may include:

  • your first name and email address
  • a phone number, if you choose to give one
  • how you prefer to be contacted and the best times to reach you
  • the kind of support, advice or volunteering you are interested in
  • anything you choose to write in a message box

Health information. We never ask for a diagnosis or medical records through this website. However, what you tell us — including the type of support you choose — may reveal information about your health. This is “special category” data under UK GDPR, and we treat it with extra care.

Technical information. Like most websites, our hosting provider automatically processes basic technical information, such as your IP address and browser type, to deliver the site securely. We use your IP address briefly to prevent spam and abuse of our forms. We do not use advertising or tracking cookies — see our cookie policy.

How we use your information

  • to reply to your enquiry and arrange any support, advice call or volunteering conversation you ask for
  • to keep a record of our contact with you so we can support you consistently
  • to keep this website and our forms secure and free from spam
  • to meet legal and safeguarding obligations

Our lawful basis

We use your contact details to respond to you on the basis of our legitimate interests in answering enquiries and providing our services, or to take steps at your request.

Where your message includes health information, we rely on your explicit consent, which you give when you tick the consent box on our forms. You can withdraw consent at any time by contacting us; this will not affect anything we did before you withdrew it.

In rare situations where someone may be at serious risk of harm, we may need to share information to protect them (safeguarding).

Who we share it with

We never sell your personal information or use it for advertising. We only share it with:

  • service providers who help us run this website and send email, who act only on our instructions under written agreements
  • others where the law requires it, or where it is needed to protect someone from serious harm

We do not share your information with healthcare professionals or employers unless you ask us to.

If any provider processes information outside the UK, we will make sure appropriate safeguards are in place, as required by UK data protection law.

Keeping information secure

This website uses encrypted connections (HTTPS). Form submissions are checked on our server and sent to a restricted KND inbox. The confirmation email we send you deliberately does not repeat what you wrote.

Access to enquiries is limited to people at KND who need it to help you.

How long we keep it

We keep enquiry information only for as long as we need it to respond to you and provide the support you asked for, and to meet any legal obligations. After that, it is securely deleted.

Your rights

Under UK data protection law, you have the right to:

  • ask for a copy of the information we hold about you
  • ask us to correct information that is wrong or incomplete
  • ask us to delete your information
  • ask us to restrict or stop using your information
  • withdraw your consent at any time
  • ask for your information in a portable format
  • object to how we use your information

To make a request, contact us. We will respond within one month. There is usually no charge.

Complaints

If you are unhappy with how we have handled your information, please tell us so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK regulator for data protection, at ico.org.uk/make-a-complaint (opens in a new tab).

Changes to this policy

We may update this policy from time to time. The date at the top of this page shows when it was last changed.
